Contact and project reviews

When you contact ULC, we use the information you provide to respond to your enquiry. The contact form asks for your name, email address and message.

If you choose an initial commercial review, the form also asks for your project or company name and a description of your project and current commercial question. Relevant links and up to three PDFs are optional.

We use project-review materials to assess your project and email you an overview with possible next steps. The initial review is free, with no obligation to work with ULC.

For an initial review, a short, non-confidential overview is enough. Share only public or non-confidential project information you are authorised to disclose. Please leave out customer or employee personal data, passwords and confidential documents. Avoid unnecessary personal information in messages and supporting materials.

Processing basis

We process enquiries about entering into or performing a contract under Article 6(1)(b) GDPR where applicable. For enquiries made on behalf of a company and other business correspondence, we rely on Article 6(1)(f) GDPR: our legitimate interest in responding to enquiries and developing business relationships. Necessary security and abuse prevention also rely on Article 6(1)(f). Optional analytics, when enabled, rely on consent under Article 6(1)(a).

Email delivery and website storage

Enquiry details, links and optional PDFs are sent to ULC by email. Uploaded files are processed temporarily while the email is prepared and handed to the email service. The website does not keep an archive of enquiry contents or uploaded documents.

We retain short-lived technical references, one-way request fingerprints and rate-limit counters to prevent duplicate emails and abuse. These records do not contain enquiry text, email addresses, filenames, links or PDF contents. They expire after 24 hours and are removed by periodic cleanup.

The enquiry and attachments remain in the receiving ULC mailbox. Cloudflare delivers these emails to ULC. Email providers process messages under their own retention and security arrangements. The routing workflow records delivery metadata; the website does not create a full-message or attachment archive. File-format checks do not guarantee that a document is free from malware.

Access to your information

Enquiries and review materials are processed by ULC and the service providers involved in handling your request and preparing your review.

How we prepare your review

We use AI services to help analyse the project information and optional documents you submit and prepare your initial commercial review.

ULC selects the AI tools used for each review. Our current tools include OpenAI's ChatGPT Plus and Anthropic's Claude Pro. We share only non-personal, non-confidential project information with these services, removing names, contact details and other personal or confidential material before sharing it. We keep optional model-improvement settings switched off. The original enquiry and attachments remain in ULC's mailbox. These external services have their own processing and retention arrangements, which are separate from ULC's mailbox deletion rule.

Confidential materials are not needed for the initial review. If a later engagement requires them, we will agree how they can be shared and used separately.

Service providers and international transfers

Cloudflare provides website hosting, request processing, spam protection and email delivery. The D1 database for short-lived technical references was created in the EU; website execution and email processing can use Cloudflare’s global network. Enquiries are delivered to ULC’s Google Workspace email service. These providers may process information outside the European Economic Area. Applicable safeguards include the providers’ contractual data-protection terms and standard contractual clauses where required.

Retention and deletion

For closed enquiries that do not lead to an engagement, we delete the email conversation and its attachments six months after the last exchange. Sabrina Schaffer oversees the cleanup and the handling of unnecessary downloaded or forwarded working copies. We retain information needed for an active engagement, a legal obligation or the establishment, exercise or defence of legal claims separately for as long as that purpose requires. Mailbox deletion alone does not remove separate working copies. Email and AI providers may have separate security, backup and retention arrangements.

Your rights

Depending on the circumstances, you may have rights to access, correct or erase your personal information, restrict or object to its processing, or receive it in a portable format. Where processing is based on consent, you may withdraw that consent. You may also complain to the competent data protection authority.

For privacy questions or requests to exercise your data protection rights, contact sabrina@unconventionalleaders.io. We may ask for information necessary to verify your identity before disclosing personal information.

Cookies and analytics

We use necessary browser storage to remember your cookie choices for up to 180 days. You can accept or reject optional analytics and change your choice at any time using Cookie settings in the footer.

Google Analytics 4

With your consent, Google Analytics 4 measures website visits, review-button clicks and successfully submitted enquiries to help us understand and improve the website.

Analytics does not include your name, email address, message, project description, links or uploaded documents. Advertising personalisation and Google Signals are disabled in our configuration.

Google Analytics is provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. When analytics is active, Google receives technical and usage information, including browser/device information and pseudonymous cookie identifiers. Analytics is based on your consent; rejecting it does not prevent you from using the website or contacting ULC.

Analytics cookies are configured to expire after 180 days without extending their lifetime on each visit. User-level and event-level data retention is set to 2 months. This retention control does not apply to standard aggregated reports.

You can withdraw consent in Cookie settings. This stops future analytics collection and removes this website’s analytics cookies; it does not undo processing that took place before withdrawal.

Google may process information outside the European Economic Area. Read Google’s Privacy Policy and how Google uses information from websites for information about its processing and safeguards.
